Revision as of 20:04, 31 January 2013
SoE will no longer support Google Calendars starting March 27, 2013
Background
During the Spring of 2013, all staff at UCSC will be using the Google Calendar functionality provided by the UCSC instance of Google Apps. Previously, some staff used the Google Calendar app provided by the School of Engineering (SoE), however they are dropping their support for that app.
In conjunction with this change, the genome browser group will be dropping the old group calendar which was located on kkstore.
What is SoE Google vs UCSC Google?
- The UCSC School of Engineering has a suite of Google products. Read about them here.
- UCSC also has a suite a Google products. Read more here. To sign into your UCSC Google products (gmail, calendar, etc), visit https://www.google.com and use your UCSC CruzID and Blue password.
Moving a Calendar from SoE to UCSC Google
If you have one or more Calendars in the SoE instance of Google, you must move it to the UCSC instance of Google before March 27, 2013. Follow these steps to do that:
- Log into your SoE Google instance (SOE email address and password)
- Click the Calendar link in the top navigation bar
- Export your existing calendar(s) in .ics format
- Log into your UCSC Google instance using your UCSC CruzID and Blue password
- Click the Calendar link in the top navigation bar, then click the down-arrow to the right of My Calendars and choose Settings
- Once in 'settings' click "Calendars" at the top (next to General), then click "import calendar"
- Choose the name of the calendar to which you would like to import your .ics file
Create a New Calendar
Each member of browser-staff should have an individual calendar on which s/he lists vacation days, meetings, appointments away from work, etc. The purpose of this is to make it easier for us to schedule group meetings (by checking individuals' availability).
If you don't already have an SoE Google Calendar that you can migrate to the UCSC Google instance, please create your individual calendar in the UCSC Google Calendar instance. You can hide the details of your meetings/appointments by choosing hide details.
Sharing Calendars between Google instances
Until the SoE Google Calendar goes away, you can share your UCSC Calendar with your SoE persona. This allows you to edit it as you please when you are logged in to SoE Gmail. To do this choose Sharing > Share this Calendar > "make changes to events". Or see this page for a how-to video.
Group Calendars
The CBSE and Genome Browser group has several shared calendars. They will also move from SoE to UCSC Google. These include the following Calendars:
- Genecats
- Release Schedule
- MLM Schedule
